What data can you find in the event reports?

In the LMS under reportings you find four main menus. In this article, you will learn what data you can find in the section event reports and how you can perform different actions to get exactly the data set that is relevant for you.

In the event reports, you find aggregated data on events. In this menu, you find 6 tabs:


  • Events & Sessions
  • Attendee & Waiting 
  • Attendance
  • Interests & cancellations
  • Events overview 
  • Events schedule


    Events & Sessions

    In this tab you find an overview of all events and sessions in your organizations. An event can have multiple sessions. And a session can have one or more dates. Each session has a status regarding time (ongoing, passed, upcoming) and a registration status:
     
  • at risk (not enough participants yet and less then a month to get enough participants)
  • needs participants ((not enough participants but more than a month to get enough participants)
  • with enough participants 
  • without enough participants (registration is not possible any more)
  • without participants, upcoming sessions with 0 participants

    Sessions over time: this visualization shows sessions and its registrations status over time and includes a scale with colours, indicating if the session has enough participants (red meaning not enough, yellow meaning at risk, green enough participants). Note that sessions can span over a longer period of time when the session has multiple dates.


Attendee & Waiting list


In this tab you have different squares: 


  • Attendee list to finalize: This number means that sessions are over and the confirmation of the attendance needs confirmation. With a click on the number you can drill down on the data.

  • Attendance over time: this visualization shows sessions and its attendance status over time. On the left you have the sessions of events and in the bars you can see the number of attendances per session. The colors indicate the status here; green meaning attendance confirmed and red meaning confirmation is still needed. 


  • Waiting list over time
    this visualization shows the waiting list for sessions over time. On the left you have the sessions of events. The colors indicate the status here; green meaning attendance confirmed, and red meaning confirmation is still needed.

    Attendance 


    This tab gives you an overview of the attendance of events. 

    You get an overview of all events with three status: 

  • no show: registered but did not show up 
  • attendance not confirmed yet 
  • attendance confirmed

    Interests & cancellations

    This tab you have different tiles with data you can drill down on:

  • Interest by events: this graphic gives on overview of which events had a lot of interest (in procent)
  • cancellations by event: this graphic shows the number of cancellations per event 
  • no show participants: this tile shows an ordered list of no show participants
  • invited & declined: list of event title and the number of invited vs. declined participants

    Events overview

    The Event Overview Page provides a detailed summary of all events, workshops, and sessions, making it easy to manage and track participation. Below is an explanation of the key data points displayed on this screen.
    Key Data Points:

  • Event Title: Lists the names of events or workshops. Longer titles may be truncated, but clicking on an event provides full details.
  • Total Number of Sessions: Represents the total number of sessions associated with the event. Some events may have multiple sessions.
  • Number of Future Sessions: Indicates how many upcoming sessions are scheduled for a particular event, helping organizers track ongoing activities.
  • essions with Waiting Lists: Shows how many sessions have participants on a waiting list if the event is fully booked.
  • total Participants: Displays the total number of participants who have registered across all sessions of the event, providing a quick overview of engagement.
  • Invited Users: Indicates the number of users who have been invited to an event but have not yet confirmed attendance, useful for tracking outreach.
  • Declined Invitations: Displays the number of users who have declined an event invitation, helping organizers adjust participation strategies.
