To create a collection, you must have been assigned to the 'Manage All Collections' or 'Create own collections' permissions. This can be done under People > Permissions in the LMS.
For the permissions group 'Admin' and 'Internal author/trainer', this permission is active by default. If you have the correct permissions, you'll see a new item called 'Collection' in the LMS under Library.
When you click on 'Collections' in the menu, you’ll arrive at the overview page of the collections in your learning environment.
If you want to create a new collection, click on 'Create a collection’ at the top right.
If you want to edit an existing collection, click on the relevant collection.
When creating your collection, you can add a description and place a photo and/or introduction video.
You can also specify who put the collection together. This is the person who compiled these learning items.
You can add a maximum of 48 learning items under the various learning methods in your library to the collection and set it so it's visible to all, only some teams, or no one.
Note: the learning items in the collection maintain their own visibility.
For example: A collection is visible to everyone. I place 8 learning items into it:
- 2 videos (visible to all)
- 5 online courses (3 visible to all, 2 only visible to Sales team)
- 1 event (visible to Sales team).
The Sales Team will see all 8 learning items in the collection. The rest of the users will only see 5 learning items (2 videos and 3 online courses), not the rest of the collection. You can of course adjust this for the whole library, per learning item.
In the collections' management environment, you’ll see three icons at the top right. With the icon at the far right (trash bin) you can delete the collection.
When you click on the middle icon you can duplicate the created collection. This is especially useful if, for example, you want to create separate collections for the Marketing and Sales teams, but both collections are almost the same. This way, you can make a few changes in your copy rather than starting from scratch! By clicking on the icon on the far left, the collection is shown in preview mode in the academy.
You can also change the names of collections. Does your organisation for example call these 'Theme Pages' or 'Learning Groups'? You can change this in the LMS > Settings > Academy settings. Open the tab Custom names and fill in the preferred names.
