Training Duration Dashboard: How Is Duration Calculated?

What does the Training Duration Dashboard show?

The Training Duration Dashboard shows exactly how much time an employee has spent on learning activities.


Previous situation

Until now, we always displayed the estimated training duration.


New situation (from 28-06-2025)

From now on, we first use the actual training duration, based on attendance tracking or automated tracking. If actual duration is not available, we fall back on the estimated duration.

The system always calculates the most up-to-date and accurate duration based on the available data. This means:

  • Retroactive calculation: All past learning activities are automatically recalculated using the new model, so you always have a consistent overview.

  • Ongoing updates: A user's training duration may change later if the underlying data is updated.
    Example: If someone was initially marked as ‘absent’ and this is later corrected to ‘present’, those hours will automatically be included from that moment on.

How is actual training duration measured?

Self-paced learning types

  • Video: Time is automatically tracked while the user is watching. Inactivity is filtered out.

  • Online training (created in Studytube Authoring Tool): Time is automatically tracked as the user goes through the training. Inactivity is also filtered out.


Event and Classroom training

A participant is registered for a Session, and a Session contains one or more dates. Each date can be marked as attended or not. The duration is calculated as follows:

  • Completed or unknown status: All past dates are counted, except those where the user was explicitly marked as ‘absent’.

  • Not completed: Only dates where the participant was explicitly marked as ‘present’ are included.

  • No start and end times available? We use an average of 2 hours per date.

Example: A training consists of 6 sessions. The participant is present at 5 of them and completes the training. In this case, only the 5 attended sessions are counted.


In-company training

In-company attendance works a bit differently:

  • Status = present or presence not confirmed: All past dates are counted.

  • Status = not present: No training duration is counted.

  • No start and end times available? We use an average of 2 hours per date.


Additional notes

  • Duration in weeks, months, or years: If the estimated duration is expressed in these terms, it will not be included in the calculations. This is because such values represent a time span, not actual training time.

  • Estimated duration in days: We count 8 hours per day.

  • SCORM and LTI: A maximum of 8 hours is applied per item. These trainings are externally developed and sometimes contain faulty time data. Since we cannot correct this in our system, we cap the impact to ensure reliable reporting.
