How do I set a technical contact person?

Who is the technical contact person?
In Studytube, you can assign a technical contact person to receive notifications about your HR integration. This feature is currently only available for academies using a CSV (S3/SFTP) or AFAS integration. Using a different integration? Then this option is not yet available.


What notifications does the technical contact person receive?
The technical contact person receives an email when too many employees are about to be removed through the HR integration. In Studytube, you can set a limit for this (usually 5%). When the integration exceeds that percentage, synchronization is automatically paused. This prevents large numbers of employees from being removed accidentally—such as due to an error in the uploaded file.

The notification includes a list of employees who will be removed once the integration is reactivated. Two scenarios can follow:

  • The list is correct: The employees should indeed be removed. The contact person confirms this by replying to the email and informing Studytube’s Service department that the sync can resume.

  • The list is incorrect: One or more employees shouldn’t be removed. The contact person then checks the HR system, makes the necessary corrections, and informs the Service department that the sync can be restarted.


Who should you choose as technical contact person?
As LMS admin, you decide who to assign. We recommend:

  • Someone (or a department) with knowledge of technical integrations, to handle alerts quickly and accurately.

  • A general email address (e.g. technischbeheer@...), so alerts aren’t missed when someone is out of office.


How do you set the technical contact person?
You can set the contact person via the LMS:

  • Go to 'Academy Settings'

  • Click on 'General'

  • Scroll down to 'Contact Information'
